TellMark ("TellMark," "we," "us," or the "Service") is operated by Jaden Chu. This Privacy Policy explains what information the Service handles, how it is used, who it is shared with, and how long it is kept.
The Service is a tool for financial advisors that turns a meeting recording into a structured, draft compliance note. It is intended for use by independent registered investment advisers and similar financial professionals in the United States.
When you use TellMark, you (the advisor) are the data controller for your client information. You decide what to upload, you obtain any required client consent, and you are responsible for complying with the laws and regulations that apply to your practice.
TellMark is a data processor. We process the information you provide solely to deliver the Service to you (transcribing your recording and formatting it into a draft note). We do not use your client information for our own purposes.
This is the same model as other tools that handle data on your behalf: the professional decides what data to put in and is responsible for it; the tool processes it under instruction.
Account information. When we create your account, we store a username and a hashed password. We do not store your password in readable form.
Audio recordings you upload. You upload meeting audio to be transcribed. This audio is processed and then deleted (see Retention below). We never use it to train any model and never sell it.
Transcripts. The text produced from your audio. Held temporarily so that, if note formatting fails, it can be retried without re-processing your audio.
Formatted notes. The structured draft notes the Service produces. These are saved to your account so you can return to them, search them, and download them.
A file fingerprint (hash). A short fingerprint of each uploaded file, used to detect duplicate uploads so the same recording is not processed and charged twice. The fingerprint is not the audio and cannot be turned back into audio.
Basic operational logs. Standard server logs (for example, that an upload occurred, timing, and errors) used to operate, secure, and debug the Service.
We use the information only to:
We do not sell your information, and we do not use your client data to train artificial-intelligence models.
To provide the Service, your data passes through a small number of third-party providers. Each is a "sub-processor" that processes data on our instruction:

These providers offer business/API products. By their standard terms, none of them use the data submitted through these APIs to train their models (verified for Groq, OpenAI, and Anthropic). Your audio is sent to a transcription provider only to produce your transcript, and your transcript is sent to the formatting provider only to produce your note. We enable Zero Data Retention on our transcription provider, so your audio is not retained by it after transcription.

The single most important point: we never store your audio recordings. They are deleted the moment transcription finishes.
We take reasonable measures to protect the information the Service handles:
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We continue to improve our security as the Service grows.
You are responsible for obtaining any consent required to record your client meetings and for complying with the recording and privacy laws that apply to you and your clients, including any applicable all-party (two-party) consent requirements. TellMark is a tool that processes a recording you have already made; it is not a party to your meetings and does not obtain consent on your behalf.
You own your notes. You can download every note as a PDF or Word document at any time. If you ever stop using the Service, you can export your notes and take them with you. You are never locked in.
You may request deletion of your account and your stored notes by contacting us at jadenbchu123@gmail.com. We will delete your stored data within a reasonable period, except where we are required to retain it by law.
The Service is intended for use by financial professionals and is not directed to anyone under 18. We do not knowingly collect information from children.
We may update this Privacy Policy as the Service changes. If we make a material change, we will update the "Last updated" date and, where appropriate, notify you. Continued use of the Service after a change means you accept the updated policy.
